Executive Assistant – Construction Operations
Location: Chesapeake, VA
Schedule: Full-time, Monday–Friday, onsite
Salary: Up to $80,000 annually
Position Summary
Our client is seeking an experienced Executive Assistant to provide high-level administrative and operational support to the President of the Industrial Group and Hampton Roads operations. This position manages executive calendars, appointments, email correspondence, meetings, expense reports, special projects, payroll coordination, permitting, licensing, and construction documentation.
The Executive Assistant will serve as a trusted liaison among senior executives, business unit leaders, project teams, clients, and external partners. The ideal candidate is highly organized, discreet, detail-oriented, and comfortable managing multiple priorities in a fast-paced construction environment.

A Day in the Life
- Manage professional and personal calendars for the President of the Industrial Group and Hampton Roads operations
- Monitor and assist with executive email correspondence as needed
- Support two Business Unit Leaders with calendars, meetings, appointments, and special projects
- Coordinate professional meetings, conferences, teleconferences, and executive appointments
- Prepare and submit expense reports for the President and other Hampton Roads leaders
- Coordinate weekly payroll processing for field and office employees
- Enter payroll hours, job numbers, and cost codes into company operating systems
- Assist the Contracts Manager with contractor license renewals and new licensing requirements
- Submit, track, and renew municipal building permits, licenses, and subcontractor compliance documentation
- Coordinate scheduling with company officers, directors, business unit leaders, managers, clients, and external partners
- Maintain organized electronic and physical filing systems
- Protect confidential and sensitive company information
- Assist Project Managers with permits, inspections, closeout documents, and other construction project requirements
- Support special projects and perform additional administrative duties as assigned
Qualifications
- High school diploma or equivalent required; bachelor’s degree preferred
- At least five years of professional experience, preferably in an executive assistant or senior administrative support role
- Experience supporting executives, senior leaders, or construction operations preferred
- Excellent written and verbal communication skills
- Strong proofreading, editing, grammar, and business-writing abilities
- Advanced proficiency with Microsoft Office Suite and Adobe Acrobat
- Ability to learn company-specific systems such as PENTA, OnBase, and other payroll or document-management platforms
- Strong organizational, calendar-management, and time-management skills
- Ability to manage a fast-paced workload and changing priorities with minimal supervision
- Exceptional interpersonal skills and a professional, approachable demeanor
- Proven ability to maintain confidentiality and exercise sound judgment
- Valid driver’s license and ability to travel locally on rare occasions
Work Environment
This is a full-time, onsite position based in Chesapeake, Virginia. The standard schedule is Monday through Friday, with no regularly scheduled remote-work days. Travel is not typically required, although occasional local travel may occur during the workday.
