Position Overview
We are seeking a detail-oriented Payroll Coordinator to join our Payroll and Finance team supporting the accurate and timely processing of payroll for more than 2,000 employees across multiple states.
In this role, you will run weekly payroll, review employee time records, process payroll changes, maintain payroll documentation, resolve payroll discrepancies, and partner with Human Resources, Accounting, and Operations to ensure payroll is processed accurately and in compliance with company policies and applicable regulations.

What You'll Do
- Run weekly payroll for more than 2,000 employees across multiple states, ensuring accuracy, timeliness, and compliance with company policies and applicable federal, state, and local payroll regulations.
- Review employee time records for accuracy, completeness, and required approvals.
- Coordinate payroll documentation with Human Resources, managers, and field leadership.
- Process payroll changes including direct deposit updates, new hires, rehires, pay rate changes, deductions, garnishments, and payroll adjustments.
- Research and resolve payroll discrepancies, employee questions, and timekeeping issues in a timely manner.
- Support prevailing wage payroll processing and compliance requirements.
- Assist with unemployment claims, payroll audits, payroll reporting, year-end payroll activities, and payroll system enhancements.
- Maintain accurate payroll records while protecting confidential employee information.
- Provide exceptional internal customer service to employees and leadership regarding payroll-related matters.
- Partner with Payroll, Human Resources, Accounting, and Operations to ensure payroll processes remain efficient and compliant.
- Assist with additional payroll and accounting responsibilities as assigned.
What We're Looking For
- Associate degree in Accounting, Finance, Business Administration, or a related field preferred.
- Equivalent combination of education and relevant experience will be considered.
- Experience in payroll, accounting, bookkeeping, finance, administrative support, or data entry preferred.
- Multi-state payroll experience preferred.
- Construction payroll, prevailing wage, and COINS ERP experience preferred.
- Strong Microsoft Office skills, including Excel, Outlook, and Word.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities while maintaining exceptional accuracy.
- Professional communication skills and a commitment to outstanding internal customer service.

Knowledge, Skills & Abilities
- Working knowledge of payroll processing principles and payroll best practices.
- Understanding of payroll tax regulations and compliance requirements.
- Strong organizational, analytical, and problem-solving abilities.
- Proficiency with Microsoft Office, especially Excel; experience with Google Workspace is a plus.
- Excellent verbal and written communication skills.
- Ability to analyze payroll data, identify discrepancies, and resolve issues efficiently.
- Ability to prioritize multiple deadlines while maintaining confidentiality and accuracy.
