HVAC Service Coordinator

Location: Chesapeake, VA

Job Type: Full-Time | In-Office

Pay Range: $24.00–$30.00/hour (DOE)

Schedule: Monday–Friday


Position Summary

We are seeking an organized, customer-focused HVAC Service Coordinator to support daily commercial service operations in Chesapeake, VA.

The Service Coordinator is responsible for scheduling and dispatching Service Technicians, managing work orders, coordinating materials, maintaining service documentation, and communicating with customers throughout the service process.

This is a fast-paced position requiring excellent organization, follow-through, communication, and the ability to manage multiple priorities while maintaining a sense of urgency.

Key Responsibilities

  • Develop and maintain short- and long-term schedules for Service Technicians
  • Schedule and dispatch technicians for:
    • Service calls
    • Quoted repairs
    • Preventative maintenance
    • Inspections
  • Coordinate technician workload with Service Supervisors and Service Managers
  • Communicate with customers to schedule service and provide ongoing job updates
  • Ensure technicians receive complete and accurate information before each assignment
  • Monitor technician check-in/check-out and job status throughout the day
  • Create and manage work orders
  • Order required materials and track shipments
  • Maintain accurate, real-time job status and notes in Penta and other service management systems
  • Respond to customer service requests, questions, and concerns
  • Escalate customer or technician issues to service leadership when appropriate
  • Research and resolve problematic or incomplete work orders
  • Review and update reports, including:
    • Work in Progress (WIP)
    • Daily call reports
    • Open preventative maintenance reports
    • Billing error reports
  • Collaborate with Operations, Sales, field personnel, and administrative teams
  • Identify scheduling, workload, callback, quote, inspection, or technician issues and communicate them to management

Qualifications

  • High school diploma or GED required
  • Service coordination, dispatching, or related customer service experience preferred
  • Commercial HVAC, mechanical, plumbing, or electrical service industry experience is a plus
  • Strong working knowledge of Microsoft Office
  • Excellent organizational and follow-up skills
  • Strong written and verbal communication
  • Excellent customer service skills
  • Ability to manage multiple priorities accurately in a fast-paced environment
  • Strong problem-solving and independent decision-making abilities
  • Ability to follow established processes and customer-specific requirements
  • Dependable, detail-oriented, and comfortable working independently
  • Ability to remain calm while maintaining urgency during emergency calls and high-volume periods

Schedule

This is a full-time, primarily office-based position, Monday through Friday.

Occasional evening, weekend, or unscheduled overtime may be required based on service and customer needs.
