A leading commercial mechanical contractor is seeking an experienced and customer-focused Service Coordinator to support its Building Services team in Charlottesville. This role plays a critical part in managing technician schedules, dispatching service calls, coordinating materials, and maintaining strong customer communication.

Key Responsibilities

  • Develop and maintain short- and long-term schedules for 10–15 HVAC Service Technicians
  • Meet regularly with service leadership to review workload and scheduling priorities
  • Schedule and dispatch technicians for service calls, repairs, and inspections
  • Coordinate directly with customers throughout the service process
  • Ensure technicians have accurate job details, materials, and documentation
  • Answer incoming service calls and generate work orders
  • Create and manage purchase orders; track materials and update customers on delivery timelines
  • Maintain accurate scheduling and service records
  • Support emergency scheduling and high-volume service periods
  • Collaborate with office and field teams to meet operational goals

Qualifications

  • Experience in service coordination, dispatching, or project administration (mechanical, HVAC, plumbing, or electrical contractor preferred)
  • Strong proficiency in Microsoft Office, particularly Excel (Excel-heavy role)
  • General knowledge of HVAC systems and terminology preferred
  • Excellent organizational skills with the ability to manage multiple priorities
  • Strong communication and customer service skills
  • Ability to make independent decisions and remain calm under pressure
  • Willingness to work flexible hours and occasional overtime
