Service Dispatcher / Service Coordinator

Location: Richmond, VA (On-Site)

Job Type: Full-Time

Pay: $20 - $30/hr DOE




About the Role:

A growing commercial mechanical contractor is seeking a skilled and customer-focused Service Dispatcher to join its Building Services team. In this critical role, you will handle scheduling, dispatching, and material coordination to ensure timely service delivery for HVAC field technicians. If you're organized, proactive, and enjoy working with people, this is a great opportunity to contribute to a high-performing team.


Key Responsibilities:

  • Manage daily and long-term schedules for a team of 10–15 HVAC technicians
  • Coordinate with internal supervisors to review technician workloads and update scheduling
  • Contact customers to confirm service appointments and communicate throughout the service process
  • Dispatch the appropriate technician for service calls, quoted repairs, and inspections
  • Ensure all job-related information and materials are prepared for each technician
  • Answer incoming service calls and create work orders as needed
  • Create and track purchase orders for parts and materials
  • Monitor shipment statuses and proactively communicate with customers about delivery timelines
  • Collaborate with field and administrative teams to meet service delivery metrics
  • Assist with emergency scheduling or high-call-volume situations as needed

Qualifications:

  • Previous experience in service dispatching, coordination, or project support (mechanical, plumbing, or electrical background preferred)
  • Familiarity with HVAC systems and terminology is a plus
  • Strong multitasking and organizational skills in a fast-paced environment
  • Excellent customer service and communication skills
  • Comfortable using scheduling and service software
  • Ability to stay calm and focused under pressure
  • Willingness to work flexible hours, including occasional overtime
