About the Opportunity:
We’re looking for a highly organized and customer-focused Service Dispatcher/Coordinator to join our Building Services Team in Newport News, VA. This role plays a vital part in ensuring efficient technician scheduling, strong communication between teams, and excellent service delivery to our customers.

Key Responsibilities:
- Coordinate and dispatch 10–15 HVAC Service Technicians for daily service calls, inspections, and quoted work
- Maintain short- and long-term technician schedules; update assignments based on priorities and emergencies
- Communicate with customers at every stage of the job cycle, ensuring satisfaction and clarity
- Assist in answering service phone lines and generate work orders from internal and external requests
- Create and track purchase orders; assist with pre-ordering materials for repairs and maintenance
- Manage delivery tracking and update customers on expected material arrival
- Maintain truck inventory and support accurate billing and payroll processes
- Assist with service contract administration, including logging, renewal tracking, and revenue forecasting
- Collaborate with supervisors and managers on workload balancing and material coordination
- Attend team meetings and contribute to process improvement
What We’re Looking For:
- 5+ years of experience in service coordination, dispatch, or project administration (preferably with a mechanical, electrical, or plumbing contractor)
- Strong working knowledge of HVAC systems and service workflows (preferred)
- Ability to prioritize tasks in high-pressure situations and handle multiple deadlines
- Strong communication, decision-making, and organizational skills
- Ability to work flexible hours, including occasional overtime when needed
- Technological proficiency with Microsoft Office Suite (Excel, Word, Outlook)
- Professional demeanor, team-oriented, and adaptable to shifting demands
